SCOPE OF POSITION:
The Finance Coordinator reports into the Director, Finance and is responsible for the timely processing of all supplier invoices and payroll. The role will also be responsible for managing all related supplier and benefit provider relations.
KEY RESPONSIBILITIES:
1. Accounts Payable Responsibilities

- Coordinates day-to-day accounting functions for all payables related transactions including:

- maintaining accounting records and internal controls
- reviewing supplier invoices and acquiring the necessary approvals
- reconcile supplier statements and respond to any inquiries
- verifying and processing payment for accounts payable
- calculating and maintaining depreciation schedules for all capital assets
- handling banking deposits and respective accounting
- reconciles all corporate credit card statements and processes expenses effectively

- Perform monthly, quarterly, and year-end account reconciliations.
- Train and assist users with approvals for timesheets, invoicing, and expenses.
- Assists in the preparation of monthly financial statements
- Provide support and assistance with annual financial budgets and audits

2. Payroll Responsibilities

- Provide external payroll provider (HUMI) with payroll changes and employee benefits for approximately 40 employees on a bi-weekly basis and reconcile to the general ledger.
- Liaise with external payroll provider on all off-cycle payroll related queries
- Implement salary changes and prepare ROEs in a timely manner.
- Calculation of employee and employer pension contributions and prepare remittance to provider; and be the point of contact for all pension related queries.
- Monthly and year-end reconciliation of group benefits premiums and pension contributions
- Track and maintain employee leave and vacation balances
- Calculate and provide adjustments for year-end preparation of T-4s and T-4As and annual pension reporting.

- Stewardship of physical and electronic financial records.
- Work with Human Resources regarding onboarding and terminations.
- Assist staff with general financial and payroll questions.

REQUIREMENTS:
- Completion or near completion of CPA and / or bachelor’s degree in finance or commerce
- Five years of related experience preferably with a non-profit association or insurance / reinsurance company
- High degree of proficiency with office applications, specifically Microsoft 365 Suite (Excel, Outlook, Word, PowerPoint, Planner); virtual meeting platforms (MS Teams, Zoom), and file management/collaboration platforms (SharePoint)
- Ability and willingness to commute/relocate to Ottawa
DESIRABLE QUALIFICATIONS:
- Experience using databases or customer management systems (Salesforce)
- Professional French proficiency (bilingualism in official languages)
